Job Purpose:

Regular liaison with Shell Lubricant Egypt (SLE) local business representatives to coordinate site-wide service planning, assess satisfaction and facilitate general communication on services.

Provision of information and advice to the on-site service provider(s) to coordinate delivery of the full range of service activities

Measurement of service delivery compliance and user satisfaction

Principal Accountabilities

Managing SLE reception performance

Manage scheduling and supervising SLE drivers and assess their HSE performance.

Monitoring SLE vehicle movements and SLE staff business trips.

Contract holder for car rental agencies.

Manage SLE reception in receiving mails and shipments.

Liaise with travel agency regarding the visitors’ requests for Meet and Greet services.

Provide FM and logistic related support to key SLE events including conferences, banquets, exhibitions, VIP visits taking place in the BV building.

Managing internal and external storage

In collaboration with the Fleet Manager, provide services related to Road transport for SLE staff either using Shell driver or contractors.

Liaise with local business representatives to manage expectations on service standards (catering, cleaning, waste management, hospitality, mail, plants and other soft services etc.)

Provide the FM Manager/Building Service manager with timely and quality reports to ensure the proper tidiness of the first floor and full control of Road Transport activities

Follow up with the FM helpdesk arrangements for managing customer requests and administering workflow optimizing the use of the Planon system (where available)

Provide service provider(s) with advice on policies and standards for soft and office services

Where required, work with service provider(s) to achieve sustainable business improvements, especially in HSE and value for money, liaising with expertise colleagues as appropriate

Support the FM Manager by providing inputs to measure service performance against set targets (including contract scorecards), support improvement activities where needed and provide assurance to the FM manager on service integrity/compliance issues

Liaise with the Operational Security manager/supervisor to ensure coordination on access control and SLE reception services

Make arrangements to measure key customer and end-user satisfaction with support services, and execute improvement plans as appropriate

Arrangements for the management of waste streams, maximizing recycling opportunities

Provide advice and support on SLE staff welfare associated with the working environment and support services

Providing support and advisory services to SLE storage Depots

Support the FM manager in integrating policies and contracts with an aim to derive maximum benefits out of the co-location.

Number of Workstations – 86

Number of sites; 1. Also has to provide advisory support to SLE storage Depots within the office.

Direct reports – 2 Admin assistants, 3 drivers, and 1 office boy

Though the main focus of this position will be on Shell Lubricants business, the position requires working in collaboration with the Building Services Manager to support the FM activities in the BV Building.

Coordinating complex and/or multiple service providers across the site

Managing SLE business expectations and controlling demand

Balancing the drive for service standardization and satisfying varying business needs

Dealing with multiple external SLE agencies responsible for public services

Managing the interests and demands of multiple SLE businesses occupying the building
