Role Purpose


To contribute to the achievement of British Council objectives by providing administrative and financial support for the effective delivery of projects, products and services through British Council Egypt’s English for Education Systems (EES) Programmes. 


 


To contribute to the development of an efficient, flexible, creative and integrated Programmes Team which builds effective cultural relations between Egypt and UK in the areas of English, Education, Society, Employability and Art.


Main Accountabilities


To provide support to English for Education Systems projects through effective and efficient delivery of activities, as stated in project plans and up to agreed standards

Project Delivery and Impact

Logistics and administration

Making travel arrangements from accommodation, transportation, risk assessment forms, notes for short term visitors, joining instructions and visa procedures

Coordinating and managing logistical arrangements for events from booking catering, preparing meeting packs, handling printing materials, attendance sheets, scorecard questionnaires, promotional material, certificates, hiring venues, photographers, media coverage etc.

Contributing to project evaluation (scorecard, M&E systems, and storyboard) carried out to agreed standards assisting in monitoring, evaluating the quality of events and their outcomes; gathering and inputting data and disseminating lessons learnt.

Preparing reports, meetings minutes and managing translation within the agreed time frame

Purchasing, storage and documentation of projects’ inventory like stationaries, laptops etc.

Providing administrative support to programmes/project managers and teams in managing project risk and resources including finances

 

Finance 

Ensuring all financial transactions are processed accurately and in a timely manner according to British Council Essential Finance standards using on SAP and in coordination with local and regional finance and market place teams to raise purchase requisitions and invoices. 

Ensuring project purchases & procurement are aligned with British Council procurement policy.

Collecting and storing documentation related to all financial procedures.

Dealing with vendors regarding provided services, quotes and payments.


Customer Relationship Management

Providing good quality service to customers, clients, partners and stakeholders through the effective and efficient delivery of activities, as stated in project plans, to agreed standards.

Maintaining contact with internal and external stakeholders, partners, beneficiaries, clients and event participants.

Networking during English projects events, fairs and exhibitions. 

Providing on-site organisation and coordination during events.

Maintaining teachers Facebook groups, adding members, responding to enquiries and generating content from articles and announcements related to our English projects 


Team working and knowledge sharing

Actively contribute to an efficient, flexible, creative and integrated Programmes Team, which champions British Council values, meets all Performance Management and Professional Development standards, works effectively with colleagues across all activity streams and builds effective cultural relations between Egypt and UK in the areas of English, Education, Society, Employability and Art

Proactively participate in the corporate Performance Management and Professional Development system and get professionally updated in related areas

Providing support for Programmes colleagues as requested by Programme Management Team in order to ensure that the Egypt Programme Team operates flexibly and efficiently


Data management

Maintaining project documentation and records to British Council agreed standards and under the assessment of Information Risk programme i.e. documentation for contracts, grants, letters to Ministries, scorecards etc. 

Management and compilation of data from scorecard forms and from different sources 

Ensuring the project SharePoint site, shared drive, daily news and calendar of events are kept up-to-date

Contribution to project monitoring and evaluation, data processing and reporting of results

Updating and maintaining the contacts database

Developing profound understanding of documentation procedures, and assist with compliance and consistency across projects

Collating needed data and visuals for impact stories and reports

Gathering, supervising and ensuring accuracy of on-site gathered data 

 

Qualification & Experience

Bachelor Degree in relevant field

Fluency in English & Arabic is essential

Minimum 1 year of Project management / administrative experience.

Relevant knowledge of language development programmes

Experience of working with an international organisation and cross-cultural work experience of working in projects

Experience of organising events
