Operate telephone switchboard to answer, screen or forward calls, and take messages.
Provide information about the establishment, such as location of departments or offices, employees within the organization, or services provided.
Greet persons entering the establishment, determine nature and purpose of visit and direct them to specific destinations.
Liaise with Security Personnel to receive visitor’s ID card, take down visitor’s data and give out Visitors’ cards.
Maintain a database of visitors with relevant information (personal data, date and time of the visit, purpose of the visit…etc.)
Monitor and control meeting rooms’ reservations.
Communicate with the event organizer to ascertain the logistics requirements of the event (audio and visual equipment, seating, catering…etc) and coordinate with the floor’s office boy to prepare the meeting room for the event and catering requirements to ensure availability of facilities.
Transmit information or documents using computer, mail or facsimile machine.
Collect, sort, distribute or prepare mail, messages, or courier deliveries.
Perform general office duties, such as ordering supplies and performing basic bookkeeping work.
File and maintain records.
Keep a database of the suppliers, vendors, clients and employees.
Conduct administrative tasks and desk research as and when required.
Replace the CEO's Admin. Assistant when needed.
Assist both the HR and the Marketing Department when required.
Perform other tasks when needed.
Excellent organizational skills
Excellent interpersonal skills with people at all levels, including the ability to use tact, diplomacy, and persuasiveness.
Very good knowledge of Microsoft Office
Excellent command of English
Bachelor Degree in any discipline
